We are seeking a Corporate Front Desk Administrator for a direct hire opportunity in San Francisco, CA. This role is ideal for an experienced administrative professional who enjoys being a central point of coordination in a fast-paced construction, industrial facilities, or infrastructure environment.
The Corporate Front Desk Administrator will provide administrative and clerical support to construction management teams, corporate leadership, project managers, vendors, subcontractors, and field personnel. This position plays an important role in keeping project documentation organized, communications flowing, and office operations running efficiently.

Key Responsibilities
- Provide administrative support to construction project managers, corporate leadership, field teams, and office staff.
- Maintain organized project files, contracts, permits, change orders, submittals, compliance documents, and other construction-related records.
- Prepare and distribute correspondence, reports, meeting minutes, project communications, bids, proposals, and closeout documentation.
- Coordinate meetings, conference calls, site visits, travel arrangements, schedules, deadlines, and project deliverables.
- Process invoices, purchase orders, expense reports, vendor documentation, payroll support, timekeeping records, and workforce documentation as needed.
- Respond professionally to inquiries from clients, vendors, subcontractors, contractors, and internal departments while maintaining confidentiality and accuracy.

- Pay range: $28.00 to $33.00 per hour.

Required Qualifications and Skills
- Support construction project managers and corporate leadership with administrative coordination and documentation.
- Maintain project files, contracts, permits, compliance records, invoices, purchase orders, and related records.
- Coordinate communications, meetings, schedules, travel arrangements, reports, and project deliverables.
- Update project management software, databases, and document control systems.
- High school diploma or equivalent required.
- Minimum 2 years of administrative experience required, preferably in construction, engineering, real estate development, or a related industry.
- 3 to 5 years of experience in administrative support, front desk administration, or corporate office coordination is strongly aligned with this role.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Strong organizational skills with the ability to manage multiple projects, deadlines, and administrative priorities.
- Excellent verbal and written communication skills with a professional customer service approach.
- Strong attention to detail and ability to maintain accurate, confidential records.
- Ability to work independently and collaboratively with project managers, field personnel, vendors, subcontractors, and corporate departments.
- Strong problem-solving, follow-up, data entry, filing, scanning, and document preparation skills.
- Ability to sit for prolonged periods while working on a computer.
- Ability to occasionally lift and carry office materials up to 25 pounds.
- Ability to travel occasionally to project sites or company locations as required.
Preferred Qualifications
- Associate degree in Business Administration, Construction Management, or a related field preferred.
- Experience with construction management software and document control systems preferred.
- Knowledge of construction terminology, project documentation, subcontractor records, licenses, insurance certificates, permits, and compliance documentation preferred.
- Prior experience supporting multiple construction projects in a fast-paced office or project management environment preferred.
