Job Summary:
The Corporate Administrative Assistant supports senior management in the operation of the corporate office and their respective functions. Duties include travel coordination, expense reporting, calendaring, correspondence, project management, compliance and meeting coordination.
Duties and Responsibilities:
1. MEETINGS. Coordinates corporate meetings including scheduling, logistics, communications, presentations, catering and related details. Records and circulates meeting minutes. Tracks action items generated upon request.
2. CORRESPONDENCE. Drafts messages for senior management via email, letter, phone, text, etc. as required.
3. POLICIES. Assists in drafting administrative and operational policies.
4. ARCHIVES. Manages document retention according to company policy.
5. COMPLIANCE. Assists management with local, state, and agency annual reports and other governmental operational requirements.
6. REPORTING. Prepares, reconciles, communicates and maintains selected accounting/management reports.
7. COMMITTEES. Participates on and supports Company committees as requested. Generates, maintains and circulates corporate records as requested.
8. TRAVEL. Coordinates travel arrangements for employees.
9. Other projects and assignments as requested.
Qualifications:
The Administrative Assistant must have a High School diploma, exceptional communication and organizing skills, and the ability to grasp and effectively manage complex details. Should have experience working in an office environment, performing administrative duties, supporting a team of executives, and maintaining strict confidentiality. Must be task oriented with strong organizational, project and time management skills and have the ability to manage multiple tasks simultaneously. A working knowledge of office software systems (e.g. Microsoft Office – Excel, PowerPoint, Word, etc.) is required.
Working Conditions:
Non-exempt: “This position is considered a non-exempt position for purposes of federal wage-hour law, which means that you will be paid overtime pay for all hours actually worked in excess of 40 in a given workweek.” You must obtain authorization from your supervisor prior to working any overtime.
