A Fresno-based construction organization is seeking a detail-oriented Contract Administrator for a direct hire, full-time opportunity supporting the Risk Management Department. This role is ideal for an administrative professional with construction office experience, strong document control skills, and the ability to manage contract-related details with accuracy and follow-through.
The Contract Administrator will work closely with project management teams, remote job sites, subcontractors, internal leaders, and other stakeholders to support contract files, compliance documents, subcontractor paperwork, change orders, lien waivers, insurance certificates, and related administrative workflows.

Key Responsibilities
- Provide clerical and administrative support to the Risk Management Department, executives, and project teams as needed.
- Set up and maintain new contract files, checklists, project documentation, tracking logs, and electronic records.
- Process and track subcontractor contract documents, pay estimates, owner change orders, subcontract change orders, insurance certificates, lien waivers, and compliance documents.
- Prepare letters, transmittals, memos, templates, bid forms, prequalification forms, and other project-related documentation.
- Maintain secure, accurate, organized records and follow up on time-sensitive items to ensure deadlines are met.
- Communicate professionally with internal teams, subcontractors, customers, governmental agencies, and other external contacts.
- Support contract administration, subcontractor documentation, and compliance tracking for construction projects.
- Maintain accurate contract files, project records, checklists, and electronic documentation.
- Coordinate administrative workflows for pay estimates, change orders, insurance certificates, lien waivers, and related project documents.
- Communicate with project management teams, remote job sites, subcontractors, customers, and internal leadership.
- Minimum of 3 years of experience as a professional office administrative assistant, contract administrator, or equivalent.
- Strong administrative, clerical, document control, and data tracking skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced construction office environment.
- Excellent organizational skills, time management skills, and attention to detail.
- Strong verbal and written communication skills with excellent phone etiquette.
- Ability to work with minimal supervision while maintaining accuracy, confidentiality, and professionalism.
- Proficiency with Microsoft Office Suite, including Excel, Outlook, PowerPoint, Word, and SharePoint.
- Experience using Adobe Professional.
- Valid California Driver’s License and a driving record that meets company fleet policy requirements when operating a company vehicle for business purposes.
- Must be legally authorized to work in the United States.
Preferred Qualifications
- Experience supporting contract administration within the construction industry.
- Proficiency with Viewpoint Construction Software.
- Experience with subcontract management software, project documentation systems, SharePoint, and construction-related compliance tracking.
- Familiarity with bid forms, prequalification forms, insurance certificates, lien waivers, pay estimates, and change order documentation.
