About the Role
*We’re seeking a detail-oriented and proactive Contract Administrator to support our Risk Management Department. This role involves coordinating with project teams, managing contract documentation, and ensuring compliance across multiple platforms. You’ll also play a key role in administrative operations and communication with internal and external stakeholders.
Key Responsibilities
-Provide administrative support to department leadership and occasionally to other executives.
-Coordinate new job setups, including contract files, checklists, and data entry across various systems (SharePoint, Viewpoint, etc.).
-Process and track subcontractor documents, pay estimates, insurance certificates, lien waivers, and change orders.
-Generate professional correspondence including letters, memos, and transmittals.
-Assist with bid forms, prequalification documents, and overnight mailings.
-Maintain organized and secure records and files.
-Ensure accuracy of information and follow up on time-sensitive tasks.
-Uphold company policies and confidentiality standards.
-Support short-term projects and other administrative duties as needed.
-Maintain reliable and punctual attendance.
Qualifications
-Minimum 2 years of experience in office administration or a similar role.
-Proficiency in Viewpoint Construction Software, Microsoft Office Suite, SharePoint, and Adobe Professional.
-Strong organizational and time management skills.
-Excellent verbal and written communication.
-Ability to work independently and handle multiple priorities.
-Professional phone etiquette.
