Job Overview
The Construction Project Administrator plays a vital role in supporting project teams by managing documentation, coordinating communication, and ensuring construction projects stay organized and on track from start to finish. This position is ideal for a detail-oriented professional with strong experience supporting large-scale projects for a General Contractor.
Key Responsibilities
Project Documentation & Systems Management
Maintain and organize contracts, drawings, specifications, RFIs, submittals, and change orders
Ensure all documentation is accurate, current, and easily accessible in project systems
Support permit and license documentation
Communication & Coordination
Serve as a key liaison between internal teams, subcontractors, vendors, and clients
Schedule meetings, site walks, inspections, and distribute project updates
Scheduling & Tracking
Track project schedules, milestones, and material deliveries
Assist with procurement tracking to align with construction timelines
Contract & Financial Support
Assist with subcontractor agreements, invoices, and change orders
Support budget tracking and cost control efforts
Quality, Compliance & Risk Support
Assist with audits, inspections, and safety meetings
Track compliance with codes, safety requirements, and project standards
Identify risks and escalate issues to the Project Manager
Reporting & Procurement Support
Prepare project status reports and documentation
Support bid coordination and subcontractor communication
Required Qualifications
Experience & Education
High school diploma or equivalent required; degree preferred
6–8 years of Project Administrator experience with a General Contractor (required)
Strong understanding of construction processes, contracts, and workflows
