We are seeking a highly organized and detail-oriented Construction Office Administrator to support daily operations in a fast-paced construction office. The ideal candidate will handle a variety of administrative tasks including document management, project coordination, vendor communication, and support for accounting and HR functions. This role is critical to maintaining smooth office operations and ensuring timely execution of project-related paperwork.

Key Responsibilities:
Provide administrative support to project managers, superintendents, and office staff.
Maintain and organize construction documents, contracts, permits, and project files.
Assist with scheduling, coordinating meetings, and preparing project reports.
Track subcontractor compliance including insurance certificates, contracts, and lien waivers.
Support billing, invoicing, and accounts payable/receivable tasks.
Handle incoming calls, emails, and correspondence with vendors and clients.
Order office and job site supplies as needed.
Assist with onboarding paperwork, timesheet collection, and HR documentation.

Qualifications:
2+ years of experience in construction office administration or a related field.
Strong knowledge of construction terminology and documentation.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and project management tools.
Excellent communication, organization, and multitasking skills.
Familiarity with accounting software (e.g., QuickBooks or Sage) is a plus.
Bilingual (English/Spanish) preferred but not required.
