Office Coordinator
Temp to Hire, 30–40 Hours per week
$25/hr DOE
A dual construction company are seeking a reliable and detail-oriented Administrative Coordinator to support daily office operations and assist with project coordination. This role serves as a key point of contact for internal staff, subcontractors, and vendors, ensuring smooth communication and efficient administrative support across multiple projects.
Key Responsibilities:
Answer and route incoming phone calls professionally; respond to general inquiries and direct calls to appropriate personnel.
Serve as a liaison between the office and subcontractors, assisting with scheduling, documentation, and follow-up.
Provide administrative support to project managers and field teams, including document preparation and coordination.
Maintain accurate records, files, and project documentation in both digital and physical formats.
Utilize Microsoft Office (Word, Excel, Outlook) for correspondence, tracking, and reporting.
Assist with QuickBooks, including invoice entry, expense tracking, and basic AP/AR support.
Track vendor information, contracts, certificates of insurance, and compliance documents.
Support scheduling, calendars, and meeting coordination as needed.
Order office supplies and assist with general office organization.
Ensure accuracy, confidentiality, and attention to detail in all administrative tasks.
Qualifications:
Previous experience in an administrative or office support role, preferably within a construction or contracting environment.
Proficiency in Microsoft Office; QuickBooks experience
Strong organizational and time-management skills with the ability to manage multiple priorities.
Excellent communication and interpersonal skills when working with subcontractors, vendors, and internal teams.
High attention to detail and ability to work independently in a fast-paced environment.
Professional, reliable, and team-oriented mindset.
