We are a growing, fast-paced construction company delivering high-quality commercial and/or residential projects. Our team is known for precision, collaboration, and excellence in execution. We are seeking a highly organized and proactive Administrative Assistant to support daily operations and help keep our projects running efficiently.
Position Overview
The Administrative Assistant plays a key role in supporting project teams, office operations, and field coordination. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a deadline-driven construction environment.
Key Responsibilities
Provide administrative support to project managers, estimators, and leadership
Manage project documentation including contracts, submittals, RFIs, and change orders
Maintain organized digital and physical filing systems
Coordinate meetings, schedules, and appointments
Assist with bid preparation and document distribution
Track project deadlines and follow up on outstanding items
Handle incoming calls, emails, and correspondence
Support accounts payable/receivable processes, including invoice tracking
Coordinate with subcontractors, vendors, and clients as needed
Assist with onboarding and general office management tasks
Qualifications
2+ years of administrative experience (construction industry preferred)
Strong proficiency in Microsoft Office (Word, Excel, Outlook)
Experience with construction software (e.g., Procore, Bluebeam, or similar) is a plus
Excellent organizational and multitasking abilities
Strong written and verbal communication skills
Ability to work independently and as part of a team
High attention to detail and problem-solving mindset
