Job Summary

We are seeking a Client Services Manager in Palm Harbor, FL. This role is ideal for a client-focused financial services professional who enjoys building relationships, supporting financial planning activities, and helping clients feel confident throughout the service experience. 

The Client Services Manager will support a wealth advisory environment by managing day-to-day client service needs, preparing financial analysis, supporting financial plans, monitoring portfolios, and helping identify opportunities to improve client outcomes. This position plays an important role in allowing senior advisors to focus on complex client relationships and new business development.

Key Responsibilities

- Series 65 license is required
- Life and Health insurance license is required
- Serve as a primary service contact for clients, handling incoming calls, emails, meeting follow-up, and day-to-day account needs with professionalism and warmth.
- Conduct financial analysis, assist with financial plan preparation, review portfolio risk, and support customized investment recommendations under advisor guidance.
- Manage client onboarding, new business paperwork, account updates, transaction requests, change forms, and follow-up on pending service items.
- Maintain accurate CRM records, client notes, electronic files, workflows, compliance documentation, and service tracking.
- Facilitate client delivery meetings, ad hoc meetings, annual reviews, and pre-appointment preparation for upcoming advisor meetings.
- Collaborate with internal team members, support client events and seminars, and assist with training within the client service function as needed.

Required Qualifications and Skills

- Manage client service requests, account updates, onboarding paperwork, and ongoing relationship support for financial planning clients.
- Prepare client meeting materials, financial analysis, portfolio reviews, and service documentation.
- Support client retention, annual reviews, risk tolerance reviews, and proactive follow-up on financial planning opportunities.
- Maintain CRM workflows, electronic records, compliance support items, and accurate client communication notes.

- 3 to 5 years of experience in the financial services industry, preferably within financial planning, wealth management, insurance, or an RIA environment.
- Series 65 license is required 
- Life and Health insurance license is required
- Active RIA-related registrations and insurance licenses required.
- Working knowledge of financial services processes, client onboarding, account transfers, annuity service, investment products, and service documentation.
- Strong computer skills with the ability to quickly navigate CRM systems, websites, document management tools, and financial services software.
- Highly organized, detail-oriented, deadline-sensitive, and able to manage multiple priorities in a fast-paced client service environment.
- Excellent phone skills with the ability to build trust, communicate clearly, and provide a calm, supportive client experience.
- Proactive, resourceful, process-driven, and comfortable taking ownership of follow-up, issue resolution, and client satisfaction.
- Strong interpersonal skills with a self-motivated approach and a genuine interest in helping clients and team members succeed.

Preferred Qualifications

- Prior experience supporting financial advisors, wealth advisors, or financial planning teams.
- Experience with annuity research, replacement analysis, Roth conversion tracking, annual review preparation, and risk tolerance review processes.
- Familiarity with CRM workflow management, electronic filing systems, client service tracking, and compliance support.
- Comfort working in a small office environment where responsibilities may shift based on client needs and business priorities.
