Client Service Representative

Financial Planning Firm

We are a well-established financial planning firm seeking a Client Service Representative to provide exceptional administrative and client support to our advisors, paraplanners, and clients. This role is ideal for someone who thrives in a fast-paced, detail-oriented environment and enjoys helping others. You will play a key role in ensuring smooth operations and delivering an outstanding client experience.

Key Responsibilities
Serve as the first point of contact for clients: answer calls, address questions, and provide prompt, professional support.
Manage ongoing client requests, including address/banking updates, beneficiary changes, and other account maintenance: ensuring accurate processing and thorough documentation.
Prepare, submit, and track all client transactions and paperwork (applications, transfers, distributions, contributions, RMDs, QCDs, etc.) from start to finish.
Collaborate with advisors and paraplanners to prepare meeting folders, client materials, and ensure seamless meeting execution.
Maintain and update client records in the firm’s CRM, keeping the team informed of changes and next steps.
Monitor account activity and process contributions, withdrawals, and other updates accurately and on time.
Identify opportunities to improve processes and enhance client satisfaction.
Uphold confidentiality and accuracy in all communications and documentation.
Contribute to a positive, team-oriented, client-focused culture.

Skills & Qualifications
Strong client communication and interpersonal skills, comfortable supporting clients by phone and in person.
Excellent organizational, multitasking, and time-management abilities.
Professionalism and discretion when handling sensitive or confidential information.
Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
Experience with CRM or portfolio systems (Redtail, Orion, or similar) preferred.
Prior financial services, banking, or wealth management experience preferred.

Certificates & Licenses
SC Insurance License preferred (or willingness to obtain).
Professional development and continuing education encouraged. Opportunities for advancement available for high performers.
