The Clerical Specialist provides essential administrative support to ensure efficient daily operations within a department or division. Under close supervision, you will handle a wide variety of office tasks, ranging from public interaction to data entry, recordkeeping, and clerical coordination.
Key Responsibilities:
Review reports, forms, and records for accuracy; make necessary corrections
Maintain electronic and paper filing systems
Respond to inquiries from the public and other departments professionally and accurately
Process and balance payments received from the public
Draft and prepare correspondence, memos, and reports using word processing software
Enter and maintain data such as personnel records, payroll, inspections, or law enforcement info, depending on the department
Generate reports using internal systems and databases
Greet and assist visitors, answer phones, and provide clear information or direction
Maintain organized office systems and supply inventory
Perform other related clerical duties as assigned
What You Bring:
High school diploma or GED
At least 2 years of clerical or office experience
Proficiency with Microsoft Office (Word, Excel, Outlook)
Knowledge of standard office practices and business English
Strong customer service and interpersonal skills
Ability to prioritize, stay organized, and work both independently and as part of a team
Comfort with learning internal systems and performing accurate data entry
A valid driver’s license (Florida license required within 30 days of hire)
Preferred Traits:
Previous experience in a municipal, public, or government agency setting
Bilingual skills are a plus
Strong attention to detail and accuracy
Professional, courteous, and dependable
