Position Summary
We are seeking a highly skilled Microsoft 365 Workflow Automation Specialist to design, build, and optimize automated intake, review, and approval workflows across the organization. This role will partner closely with the Human Resources Director to translate policy requirements into streamlined, efficient, and fully auditable digital processes. The ideal candidate is experienced in Microsoft 365 tools—including Power Automate, Forms, SharePoint Lists, Approvals, Teams, and Planner—and can transform manual procedures into automated solutions that enhance compliance, visibility, and operational efficiency.
Key Responsibilities
Design, develop, and deploy automated intake, review, approval, and notification workflows using Power Automate, SharePoint Lists, Microsoft Approvals, and Forms.
Map existing manual HR and operational processes and translate them into scalable, automated Microsoft 365 workflows.
Ensure workflows support compliance, auditability, and data-integrity requirements.
Build solutions that integrate smoothly with Microsoft Teams channels, Planner task tracking, and SharePoint document libraries.
Work directly with the Human Resources Director to convert policy requirements into functional workflow specifications.
Partner with stakeholders to gather requirements, understand pain points, and identify opportunities for automation and process improvement.
Provide technical guidance on best practices for workflow structure, approvals, security permissions, and data governance.
Create and deliver user-friendly training sessions, documentation, and job aids for HR and other departments.
Coach staff on how to effectively use Teams, Planner, and other M365 tools to support ongoing process execution.
Troubleshoot workflow or integration issues and provide ongoing support to ensure smooth operations.
Monitor workflow performance and recommend enhancements to improve efficiency, reliability, or user experience.
Maintain version control, audit logs, and process documentation for all solutions.
Ensure workflows align with organizational policies, security requirements, and data retention standards.
Required Qualifications
Demonstrated experience building automated workflows using Microsoft Power Automate.
Strong knowledge of Microsoft Forms, SharePoint Lists, Teams, Planner, and Microsoft Approvals.
Experience translating business or policy requirements into technical workflow designs.
Exceptional analytical, problem-solving, and process-mapping skills.
Ability to communicate clearly with both technical and non-technical stakeholders.
Experience providing training, end-user support, or change-management support.
Preferred Qualifications
Prior experience partnering with HR or compliance-focused teams.
Understanding of HR processes such as onboarding, policy acknowledgments, change requests, and compliance documentation.
Microsoft certifications are a plus.
Experience with Power Apps or other low-code/no-code platforms.
