Business Office Administrator
Full-time | Onsite | Growth-Focused Role

Step into a key role supporting leadership, driving smooth operations, and having a visible impact across contracts, insurance, marketing, and special projects.

What You’ll Do:
Contracts & Service Agreements-
Review customer contracts and service agreements for accuracy and compliance.
Flag and discuss key terms with leadership, then negotiate changes with customers to reach a win–win.
Track specs, timelines, lead times, and billing; act as the main coordinator between departments.
Set up and manage customer portals, deposits, and milestone billings.
Maintain pricing details on service agreements so the team always has accurate info.
Insurance & Subcontractors-
Serve as the primary contact with the company’s insurance broker.
Coordinate annual insurance renewals and process all certificate of insurance requests.
Collect and track COIs from subcontractors and verify compliance with WA/OR requirements, including prevailing wage work.
Maintain a clear schedule of approved subcontractors and manage retention/performance bonds and releases.

Marketing & Brand Support-
Build an annual calendar of trade shows; coordinate budgets, participation, and travel.
Work with vendors/printers to create the company’s annual wall calendar.
Use tools like Photoshop, Adobe Express, etc., to create postcards, flyers, pamphlets, booklets, and banners—often on quick timelines (training provided).
Keep social media channels updated with fresh content (photos, write-ups, short videos).
Administer annual co-op funds, coordinating purchases and tracking reimbursements.

General Office & Culture
Become the go-to person for the office printer, phones, conference room tech, and Teams meetings.
Participate in Safety Team meetings in your first year and contribute to a safe, organized workplace.

Who You Are
Highly organized, detail-focused, and comfortable juggling different types of work (contracts, admin, marketing, events).
Strong communicator who enjoys working cross-functionally and supporting senior leadership.
Proactive, resourceful, and willing to take ownership rather than wait for step-by-step direction.
