Our client is seeking a detail-oriented and organized professional to support both financial operations and day-to-day administrative functions. This dual-role position combines bookkeeping responsibilities with HR and general office support, playing a key role in keeping business operations running smoothly across multiple entities.
Key Responsibilities
Accounting & Bookkeeping
Maintain accurate financial records using accounting software (QuickBooks) for multiple related businesses
Process incoming payments and record transactions for accounts receivable
Manage accounts payable by entering vendor invoices, issuing payments, and ensuring proper expense classification
Review and reconcile operational reports (e.g., production/packout data) against internal records for accuracy
Complete monthly and annual closing activities, including reconciliations, journal entries, and asset tracking
Monitor bank account activity and cash balances; generate reports as needed
Prepare periodic financial summaries and provide analysis when requested
Assist with tax preparation activities and required filings
Payroll Administration
Process semi-monthly payroll and handle off-cycle payroll as needed
Review employee timecards for accuracy, including overtime, PTO, and sick leave tracking
Handle additional compensation such as bonuses and piece-rate payments
Maintain employee payroll records, including updates to direct deposits and tax withholdings
Reconcile payroll data with accounting records and reports
Support audits related to payroll, including workers’ compensation and retirement plans
Assist with year-end and quarterly payroll compliance tasks, including filings (W-2s, 940, 943, etc.)
HR, Office & Administrative Support
Serve as a helpful and approachable resource for employees, fostering a positive workplace environment
Maintain employee directories, contact lists, and internal records
Update onboarding materials to ensure compliance with current labor laws and company policies
Track required employee training and documentation
Organize, scan, and maintain files, including benefits and insurance documentation
Coordinate employee benefits enrollment and ongoing administration
Assist with the development and implementation of HR policies and procedures
Manage incoming mail and distribute accordingly
Provide general administrative support, including answering phones, organizing emails, and maintaining filing systems
Order and manage office supplies while ensuring a clean and organized workspace
Enter and maintain compliance records such as pesticide usage reports
Support data tracking and reporting related to operational activities (e.g., crop data, fertilization plans, harvest metrics)
Assist with company events and employee engagement activities as needed
Qualifications & Skills
Proven experience with accounts payable and payroll processing
Knowledge of payroll regulations, tax implications, and benefit programs (including 401(k) plans)
Familiarity with applicable laws regarding wages, deductions, and compliance requirements
Proficiency in Microsoft Excel and Office 365, along with experience using QuickBooks or similar systems
Strong attention to detail and accuracy
Highly organized with the ability to manage multiple priorities effectively

Minimum of 3 years of experience in bookkeeping, accounting, or a similar role
Strong understanding of accounting principles and financial processes
