About the Role
We are seeking a detail-oriented and dependable Accounts Receivable Specialist / Bookkeeper to join our team. This role is responsible for managing billing, client accounts, and bookkeeping functions that keep the firm’s financial operations running smoothly.
The ideal candidate will have experience in accounts receivable or bookkeeping within a professional services environment where time tracking and billable hours are part of the billing process. Legal industry experience is a plus but not required.
You will work closely with attorneys and staff to ensure accurate billing, timely collections, and well-organized financial records.
Key Responsibilities
Prepare and distribute client invoices
Track outstanding balances and follow up on overdue payments
Record payments and reconcile client accounts
Manage billing processes, including:
Meeting regularly with six attorneys to review monthly time entries
Identifying billable time and expenses
Drafting invoices and presenting them to attorneys for approval
Following up with clients by phone and email regarding outstanding balances (scripts provided)
Conducting collections in a professional, courteous, yet firm manner
Assist with bank reconciliations and month-end reporting
Work with attorneys and staff to resolve billing questions or discrepancies
Provide occasional administrative support as needed to help maintain smooth office operations
What We’re Looking For
Experience in accounts receivable, bookkeeping, or accounting
Experience working in a professional services environment with time tracking/billable hours
Legal or law firm experience is a plus
Proficiency with QuickBooks (or similar accounting software) and Microsoft Excel
Strong attention to detail and organizational skills
Clear communication skills and a collaborative mindset
Logical thinker with strong problem-solving abilities
Ability to work independently with minimal supervision while remaining accountable
Strong time management and prioritization skills
Professional and confident when communicating with clients, including during collections
