We are seeking a proactive and reliable individual to fill the full-time, in-office role of Bookkeeper/Office Administrator. This position is essential for ensuring smooth daily operations, including bookkeeping, payroll processing, and office administration. The working hours are Tuesday through Saturday, 8:00 AM - 5:00 PM. While the role is primarily in-office due to some paper-based processes and client interaction, there may be remote work flexibility once fully trained.
Key Responsibilities:
Full-Cycle Bookkeeping: Manage all aspects of the company’s financial records, ensuring accuracy and timeliness.
Payroll Processing: Handle bi-weekly payroll for approximately 12 employees using ADP.
Financial Management: Oversee accounts payable (paying bills) and accounts receivable (processing incoming payments).
DMV Paperwork: Submit necessary documents to the Department of Motor Vehicles (outsourced).
State Agency Billing: Process and send electronic bills to various state agencies.
Tax Coordination: Prepare and submit monthly tax information to our external CPA firm.
Software Management: Utilize Lightspeed software (training provided; familiarity is a plus).
General Office Administration: Provide essential office support to ensure smooth operations.
Team Collaboration: Assist colleagues as needed to maintain a collaborative and effective team environment.
Client Interaction: Professionally interact with clients as required.
Qualifications:
Proven bookkeeping experience with a solid understanding of accounting principles.
Strong work ethic, reliability, and maturity with a commitment to the role.
Experience with payroll processing (preferably using ADP).
Familiarity with accounting software; experience with Lightspeed is a plus.
Excellent organizational skills, with the ability to manage multiple tasks efficiently.
Ability to work independently with minimal supervision.
Strong communication and interpersonal skills, and the ability to work well with a small team.
Must be available to work full-time, Tuesday through Saturday.
Preferred candidates residing near San Marcos.
Professional demeanor and ability to maintain a positive, drama-free work environment.
