Job Summary

We are seeking a detail-oriented Billing Coordinator for a direct hire opportunity with a food and beverage production company in Monrovia, CA. This role is ideal for a billing, order processing, or customer service professional who enjoys accuracy-focused work, problem solving, and collaborating with multiple departments to support smooth customer transactions.

The Billing Coordinator will play an important role in processing customer orders, preparing invoices, managing billing documentation, and resolving discrepancies. This position offers the opportunity to work in a fast-paced, team-oriented environment with supportive leadership, cross-functional collaboration, and a strong focus on accuracy, service, and operational excellence.

Key Responsibilities

- Enter and process customer orders accurately and efficiently, including customer details, product information, quantities, pricing, and purchase order requirements.
- Prepare and process customer invoices using QuickBooks, ERP systems, EDI platforms, email, RetailLink, and other customer-specific portals.
- Verify invoice accuracy against orders, pricing, shipping documentation, and customer requirements.
- Investigate and resolve billing discrepancies, rejected invoices, pricing issues, and customer deductions.
- Collaborate with Sales, Accounting, Shipping, and Logistics teams to resolve order and billing concerns.
- Maintain accurate customer billing records, portal access, EDI documentation, and supporting billing files.

Compensation and Benefits

- Pay range: $26.00 to $28.00 per hour.
- Job type: Direct hire.
- Location: Monrovia, CA.



Required Qualifications and Skills

- Process customer orders and invoices accurately using QuickBooks and internal business systems.
- Manage EDI transactions, customer portal invoicing, and billing documentation.
- Reconcile invoices against orders, shipping records, pricing, and customer requirements.
- Resolve billing discrepancies while providing professional customer support.

- High school diploma or equivalent required.
- 2+ years of experience in billing, order processing, customer service, food manufacturing, distribution, or a related field preferred.
- 3-5 years of relevant professional experience is ideal.
- Proficiency with QuickBooks, ERP or order management systems, Microsoft Office, EDI platforms, and customer portals such as RetailLink.
- Strong data entry skills and 10-key proficiency.
- Excellent attention to detail, organizational ability, and mathematical accuracy.
- Strong verbal and written communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong problem-solving skills with the ability to research and resolve invoice discrepancies.
- Ability to work independently while collaborating effectively with internal teams.
- Dependable attendance and willingness to follow company policies related to food safety, quality standards, workplace safety, and GMP requirements.

Preferred Qualifications

- Bilingual English/Spanish skills.
- Experience in food and beverage production, food manufacturing, distribution, or consumer packaged goods.
- Experience submitting invoices through RetailLink or similar customer portals.
- Familiarity with customer deductions, rejected invoices, and invoice reconciliation processes.
