Billing & Work Order Specialist – Summary of Responsibilities:
-Process service call and small-project invoicing, ensuring accurate costing, markups, scope of work, and contract compliance
-Review all jobs for complete descriptions, correct material usage, accurate costs, and proper sell prices before invoicing
-Ensure billing batches are reviewed and approved by management before posting
-Coordinate with service sales personnel to ensure accurate and timely billing
-Monitor outstanding work orders and identify billable items using IFS work-order screens
-Track aging service orders to ensure timely billing upon job completion
-Send invoices via mail, email, or customer billing portals
-Review quoted work orders, auto-bill those meeting requirements, and document billing status notes
-Log unbillable work orders in Smartsheet and follow up with project managers
-Review open work orders daily and follow up with PMs or technicians as needed
Skills, Knowledge & Abilities
-1–2 years of computerized billing and data entry experience (IFS or similar systems)
-Strong proficiency in Microsoft Windows, Excel, and Word
-Understanding of BOLs (Bills of Lading), RMAs, and order-intake processes
