Job Summary
The Billing Clerk is responsible for preparing, processing, and managing billing activities for HVAC and construction projects. This role ensures accurate invoicing, contract compliance, and timely billing for service work, maintenance agreements, and construction projects. The ideal candidate has strong attention to detail, experience working with job costing and progress billing, and the ability to collaborate with project managers, service technicians, and accounting teams.
Key Responsibilities
Prepare and process customer invoices for HVAC service, maintenance, and construction projects
Review work orders, service tickets, and project documentation to ensure billing accuracy
Generate progress billing, time & material invoices, and contract-based billing
Ensure invoices comply with contract terms, purchase orders, and project requirements
Track and bill change orders, additional labor, materials, and equipment
Maintain accurate job costing and project billing records
Coordinate with project managers, service coordinators, and field technicians to resolve billing discrepancies
Submit invoices to customers and follow billing schedules and deadlines
Assist with accounts receivable tracking and payment follow-ups
Maintain documentation including lien releases, waivers, and compliance documents when required
Support month-end closing activities by ensuring all billable work is invoiced
Maintain accurate customer records in accounting and ERP systems
Provide billing reports and updates to management
Qualifications
2+ years of billing experience in HVAC, construction, or service-based industries
Knowledge of construction billing processes (progress billing, AIA billing, T&M billing)
Familiarity with job costing and project-based accounting
Experience reviewing work orders, service tickets, and purchase orders
Proficiency with accounting software or ERP systems (QuickBooks, Sage, Viewpoint, or similar)
Strong proficiency in Microsoft Excel
Excellent organizational, communication, and problem-solving skills
Ability to manage multiple projects and billing deadlines simultaneously
High level of accuracy and attention to detail
Preferred Qualifications
Experience working with HVAC service companies or construction contractors
Familiarity with AIA billing forms and construction contracts
Knowledge of lien waivers and compliance documentation
Experience supporting accounts receivable processes
