Bilingual Spanish Administrative Assistant's Needed - Govt

Dynamic organization in Los Angeles is looking to hire (10) Administrative Assistant's to support multiple departments of the company in Downtown LA, Alhambra, South LA , South Gate and Pico Rivera

***Previous experience working for the City, County, State and or Government is a huge plus***

QUALIFICATIONS:
-Associate or Bachelor Degree preferred
-High School diploma required
-Minimum 3 years experience as an Administrative Assistant
-Intermediate to advanced in Microsoft Excel
-Proficient with Microsoft Word, Outlook and PowerPoint

JOB DUTIES:
-Provide administrative and business operations support
-Scheduling appointments, typing, answering phones, copying and other business processes
-Maintain file of all grants and grant applications, program contracts, etc.
-Ability to create documents and spreadsheets utilizing a desktop computer.
-Assist supervisor by gathering and researching data to prepare for upcoming meetings
-Update and maintain assignment tracking log by entering action needed, status of pending requests and complete/close assignments
-Handle confidential and personal employee data
-Communicate with higher level supervisors and managers via email or telephone to request additional information and
-Obtain missing documentation
-Obtain signatures for personnel forms for employees
-Conduct research for new position allocation requests, analyze reasons, purpose of the request and recommend approval or denial
-Update and revise Statement form and Organizational Charts
-Write justification and complete worksheets for revising Class Specs
-Prepare weekly Summary Reports for pending assignments
-Compose letters and statements that are representative of plans, and policies, tracking responses and following up when necessary -Establish and maintain productive appropriately professional relationships with internal and external constituents
-Other related projects assigned duties by Executive

SKILLS:
-Excellent organization skills
-Ability to organize and manage multiple priorities and projects
-Detail-oriented and possess excellent problem solving skills
-Work independently with minimal supervision
