We work with a non-profit organization headquartered in Santa Ana and they have an immediate need for a temporary Benefits Specialist. This will be covering for someone who will be out on an extended maternity leave and the position will start ASAP and go through March 2026.

Pay range: $30-35hr

This position will be mostly remote and you will only be required to go into the Santa Ana office for meetings with the HR team 1-2 times per month.

Position Summary
The Interim Benefits Specialist will support the day-to-day operations of the clients benefits programs, with a focus on Open Enrollment preparation, employee support, and benefits system accuracy. The role will work closely with the Benefits team to ensure timely processing, communication, and data integrity throughout the transition period.

Essential Responsibilities
• Administer benefits programs including medical, dental, vision, life insurance, FSA, COBRA, and wellness initiatives.
• Provide frontline support to employees for benefits-related inquiries via phone, email, and virtual meetings.
• Conduct weekly Benefits Orientation presentations for new hires.
• Audit employee enrollments, manage qualifying life event (QLE) processing, and coordinate dependent verification and COBRA notifications.
• Support ADP setup updates, including rates, eligibility, and file feeds.
• Liaise with WEX to assist with FSA and COBRA implementation support and troubleshooting.
• Assist with 401(k)/403(b) contributions, catch-up monitoring, and enrollment processes.
• Coordinate Open Enrollment logistics, including scheduling meetings, updating communications, ensuring accurate data transmission to carriers, updating Benefits Plan Setup Panels, and creating and testing the Open Enrollment Profile.
• Manage Open Enrollment email communications and coordinate Open Enrollment meetings.
• Participate in ACA tracking and compliance activities, including 1095-C form review.
• Reconcile benefits invoices and validate payroll deduction accuracy.
• Support the Leave Administrator with EDD SDI Disability Claims and STD Disability Claims.
• Coordinate distribution of Baby Kits and Baby Onesies.
• Prepare benefits leave letters related to payroll deductions or transitioning employees to COBRA participation status.
• Document processes and create Standard Operating Procedures (SOPs) to enhance long-term efficiency.
• Run reports and conduct audits to maintain data accuracy.
• Contribute to wellness initiatives and employee engagement efforts.

Minimum Qualifications
• Associate degree or HR Certification preferred
• 3–5 years of benefits administration experience
• Working knowledge of benefits regulations (COBRA, FSA, ACA, ERISA).
• Experience with ADP Workforce Now and Microsoft Excel (including pivot tables, VLOOKUP).
• Strong attention to detail, organizational skills, and service orientation.
• Ability to manage confidential information with discretion.
