Benefits Administrator

Overview:
The Benefits Administrator manages our employee benefits programs, including health plans, retirement, wellness, and leave of absence programs like FMLA and ADA. This role ensures compliance with laws, keeps accurate records, and provides excellent support to employees and internal teams.

Key Responsibilities:
Manage employee benefits programs (health, dental, vision, life, disability, retirement).
Handle daily benefits tasks in the HRIS system: enrollments, changes, terminations, COBRA, life events, claims, rollovers, and distributions.
Maintain relationships with vendors, third-party administrators, and insurance brokers.
Process weekly health claims and monthly benefit invoices; ensure accurate reporting and budgeting.
Support annual benefits renewals and help plan strategies to control costs and improve offerings.
Create communication materials and conduct training to help employees understand and engage with benefits.
Coordinate with employees, managers, and vendors to manage leave of absence requests and compliance with related laws.
Track leave status, return-to-work timelines, and ADA accommodation processes.
Keep confidential medical and leave records, following HIPAA and other regulations.
Educate staff on leave policies and ADA accommodations.
Partner with HR to develop reasonable accommodations under ADA guidelines.
Develop and promote wellness programs that support employee health and reduce medical plan costs.
Report on wellness program participation, financials, and results.
Collect feedback to improve wellness program effectiveness.
Ensure compliance with benefits, FMLA, and ADA laws.
Prepare documentation for audits and regulatory filings.
Review internal processes to improve efficiency and service quality.
Provide accurate reports to leadership, finance, and vendors.
Audit HRIS data for benefits accuracy.

Education & Experience:
Bachelor’s degree in Human Resources, Business Administration, or related field.
3+ years of experience managing benefits and wellness programs, preferably with self-funded plans.
CEBS or PHR certification preferred.
Strong knowledge of benefits laws (ERISA, ACA, HIPAA).
Experience working with vendors and external partners.
Skilled at handling confidential health information.
Experience in HVAC or service industries is a plus.
Excellent analytical and reporting skills.
Strong communication and interpersonal skills.
Proven success planning and executing wellness programs and events.
Familiar with wellness software and benefits platforms (UKG and Nectar preferred).
Ability to assess wellness program performance and recommend improvements.
Knowledge of health assessments, wellness challenges, and mental health initiatives.
Experience working with HR, Benefits, and Finance teams.
Passion for employee health and staying updated on wellness trends.
Proficient in Microsoft Office, especially advanced Excel.


Additional Details:
Temporary to permanent role
Hybrid work: 1–2 days per week from home
Pay: $20–25/hour, with pay increase upon going permanent with the company
Schedule: Monday to Friday
