Schedule: Monday – Friday, 8:30 AM – 5:30 PM (must arrive by 8:20 AM)
We are seeking a professional and polished Front Office Assistant to join a well-established team in a high-profile office setting. This is an on-site position that requires strong communication skills, attention to detail, and a high level of professionalism in appearance and demeanor. While prior law firm experience is not required, candidates must have experience working in a professional office environment.
Responsibilities:
Greet clients and guests in a courteous and professional manner
Answer and manage a multi-line phone system, directing calls appropriately and providing general information
Manage conference room scheduling, including setup and cleanup before and after meetings
Coordinate visitor access, guest parking, and security notifications
Receive and distribute incoming mail and packages; maintain a log of deliveries
Assist with coordinating meals and refreshments for meetings, including billing details
Maintain a clean and organized reception area, conference rooms, and break rooms
Provide support with administrative tasks including scanning, file management, and light data entry
Assist with onboarding new hires, including file preparation and coordination
Process invoices and parking validations through internal systems
Track and maintain office subscriptions and library materials
Coordinate with building management for facility-related needs
Provide general support to attorneys, staff, and guests as requested
Qualifications:
Minimum of 2 years of experience in a professional office environment
High School Diploma or equivalent required
Strong organizational and multitasking abilities
Excellent verbal and written communication skills
Proficient in Microsoft Office Suite (Word, Excel, Outlook)
Ability to maintain a professional appearance and demeanor at all times
Additional Information:
Parking is provided in an on-site garage
This role is fully in-office with no remote or hybrid option
