Assistant Office Manager – Succession Track

Overview
We are seeking a driven Assistant Office Manager with a clear path to becoming Office Manager. This role works directly alongside our long-tenured Office Manager to learn and gradually assume responsibility for office operations, customer coordination, and administrative leadership.
Key Responsibilities
Coordinate daily front office operations to ensure efficient, high-quality service.
Serve as a primary client contact; handle inquiries, returns, and service escalations.
Oversee AP/AR functions by supervising the bookkeeper; ensure accurate billing, collections, payments, and reconciliations.
Manage outbound logistics and staff responsible for freight scheduling and customer shipments.
Monitor active orders and projects to identify issues early and align customer expectations.
Maintain office records and support compliance requirements.
Assist with onboarding, training, and daily guidance of office staff.
Learn and assume core Office Manager responsibilities over time.
Develop working knowledge of ERP systems (Epicor preferred) and support process improvements.
Qualifications
4+ years in office administration, customer service leadership, or operations coordination (manufacturing preferred).
Experience managing/supervising team
Strong Microsoft Office skills; advanced Excel required.
ERP experience preferred (Epicor a plus).
Excellent communication, organization, and follow-through skills.
High integrity when handling financial and confidential information.
