Location: Ocoee, FL
Compensation: $60,000–$70,000 annually

Role Overview
This position is ideal for an experienced office or operations professional who is ready to step into a leadership development role. The Assistant Office Manager will work closely with a long-standing Office Manager to support daily office operations while progressively taking on broader responsibilities with the goal of transitioning into the Office Manager position over time.

This role blends administrative leadership, customer-facing responsibilities, and financial oversight and will have a direct impact on operational efficiency and client satisfaction.

What You’ll Do
Partner with the Office Manager to support and guide front-office operations and staff performance.
Act as a primary contact for customer communication, addressing inquiries, service issues, and order-related concerns.
Oversee financial office functions, including accounts payable and receivable, by supervising bookkeeping activities and ensuring accuracy, timeliness, and compliance.
Coordinate outbound logistics by supporting staff responsible for freight scheduling and customer deliveries.
Learn and gradually assume ownership of core office management functions, including administrative workflows, documentation, and cross-functional coordination.
Track active orders and projects to proactively identify risks, delays, or discrepancies and collaborate with internal teams to resolve them.
Ensure established procedures are followed and contribute to process improvements that support efficiency and profitability.
Assist with onboarding, training, and daily support of office personnel.
Maintain organized records and support compliance and audit requirements.
Develop working knowledge of the company’s ERP system (Epicor) and help identify opportunities to streamline processes.

What We’re Looking For
Minimum of 5 years’ experience in office administration, operations support, or customer service leadership; manufacturing or distribution experience preferred.
Strong Microsoft Office skills, with advanced Excel proficiency (including lookups, pivot tables, and data management).
Experience working with ERP systems; Epicor experience is a plus.
Clear, professional communication skills with the ability to build trust with customers, vendors, and internal teams.
Highly organized, detail-oriented, and comfortable managing multiple priorities.
Self-motivated with the ability to work independently and take initiative.
Proven discretion and integrity when handling financial and sensitive information.
