Job Title: Administrative License Specialist

Duration: 3 Months Assignment
Schedule: Onsite | Mon-Fri | 8:30a-5p
Hourly Pay: $20-$22 based on experience
Overview:
A real estate commission is seeking a detail-oriented Administrative License Specialist to provide administrative support in processing records, maintaining databases, and assisting the public with licensing inquiries. This position operates under the supervision of the License Services Officer and general direction of the Director of Education and Licensing. Performance is evaluated through reports, observations, and completed work. This is an excellent opportunity for a highly organized professional who thrives in a structured, detail-driven environment and enjoys supporting both internal teams and the public.
Responsibilities
• Provide support to callers regarding individual and firm licenses, renewals, reinstatements, and record updates
• Review and process documentation submitted by licensees to ensure compliance with requirements
• Enter, update, and maintain accurate data in multiple database systems
• Interpret and apply licensing rules and regulations to routine and complex situations
• Process requests including broker affiliations, firm updates, name/address changes, and license activations
• Generate reports, certification letters, and other official documentation
• Communicate with licensees to resolve discrepancies and obtain missing information
• Conduct data reviews to ensure accuracy across systems and records
• Scan, file, and maintain electronic and paper records, including converting legacy files to digital formats
• Handle incoming mail and distribute items for processing
• Print, scan, email, or fax documents as needed
• Serve as backup receptionist during scheduled breaks or absences
• Assist with reviewing work completed by other specialists for accuracy and completeness
Qualifications:
• High school diploma required; administrative or clerical experience preferred.
• Prior data entry experience required.
• Proficiency in Microsoft Office and Adobe products.
• Strong attention to detail and organizational skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Excellent communication skills with the ability to assist the public effectively.
• Ability to build and maintain professional working relationships.
Preferred Skills:
• Experience working with database systems and records management.
• Familiarity with regulatory environments or licensing processes.
• Strong problem-solving and critical-thinking abilities.
