Administrative/Front Desk Coordinator
Location: Greenville, SC
Schedule: Monday through Friday, 8:30 am to 5 pm
Compensation: $18 to $22 per hour
Contract Length: 6 to 12 months to start, with potential for full time hire

We are a recruiting and staffing agency assisting a government affiliated program in finding a professional, organized, and service minded Front Desk Receptionist and Office Coordinator. This position supports a statewide violence prevention initiative as well as the operations of a higher education office located within a shared university center. The role blends reception, administrative support, event coordination, communications, and student services.

Key Responsibilities

Administrative and Office Support
• Oversee daily office operations including scheduling, filing, and mail distribution
• Assist with preparing program reports, meeting minutes, and internal documentation
• Provide primary front desk coverage and greet guests, prospective students, and current students

Program and Event Support
• Coordinate logistics for trainings, workshops, conferences, outreach events, and prevention programs
• Manage event registration, prepare materials, track attendance, and complete follow up communications
• Support evaluation activities by distributing surveys and organizing data
• Assist with event setup and teardown

Communications and Outreach
• Serve as a welcoming point of contact for community partners, participants, and stakeholders
• Draft and edit correspondence, newsletters, and social media posts
• Maintain calendars, contact lists, and communication databases for statewide outreach
• Serve as a liaison between the office and third party vendors

Financial and Grant Support
• Assist with expense tracking, reimbursements, purchase orders, and invoice processing
• Help organize documentation for grants, compliance reporting, and audits
• Support tracking of program budgets and expenditures
• Assist with gift receipts and donor tax statement letters

Additional Student Support Responsibilities
• Conduct assigned calls and texts to individuals who have applied, requested information, or enrolled
• Log all recruitment interactions in the appropriate database
• Meet with walk in prospective students and provide guidance or referrals as needed
• Serve as a backup for online chat inquiries
• Attend initial training in Greenwood for 3 to 5 days within the first two weeks, followed by a monthly two hour meeting

Minimum Requirements
• Bachelor’s degree, or an Associate’s degree with at least four years of relevant experience
• Demonstrated customer service or sales experience
• Strong verbal communication skills
• Valid driver’s license

Preferred Qualifications
• Bachelor’s degree in business, marketing, communications, or a related field
• Five years of experience in sales, customer service, or marketing
• Experience in higher education, counseling, or social services
