Administrative Assistant/Front Desk Coordinator
Duties?/?Responsibilities:
Operate telephone switchboard to answer, screen, or forward/transfer calls, provide information, take messages, or schedule appointments.
Greet visitors/persons entering the establishment, determine the nature and purpose of the visit, direct or escort them to specific destinations, and/or arrange for transportation services when needed.
Operate office equipment, such as fax machines, copiers, or phone systems, and arrange for repairs when equipment malfunctions. Transmit information or documents to customers using a computer, mail, or facsimile machine.
Use computers for various applications, such as database management, word processing, and creating, maintaining, and entering information into databases.
Answer inquiries and provide information to the general public, customers, visitors, and other interested parties regarding activities conducted at the establishment. Provide information about the establishment, such as the location of departments or offices, employees within the organization, or services provided.
Hear and resolve complaints from customers or the public.
Set up and manage paper or electronic filing systems, record information, update paperwork, or maintain documents, such as attendance records, correspondence, or other material.
Perform administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers to work with pay records, invoices, balance sheets, or other documents.
Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
Process and prepare memos, correspondence, travel vouchers, or other documents.
Receive payment and record receipts for services.
Maintains scheduling and event calendars.
Complete forms following company procedures.
Schedule and confirm appointments for clients, customers, or supervisors.
Make copies of correspondence or other printed material.
Qualifications:
1-2 years of experience in office administration/front desk
Bilingual English and Mandarin required
Degree in business or related field preferred
