Position: Administrative Assistant II
Location: Marlborough, MA 01752
Schedule: Monday–Friday, 7:00 AM – 3:30 PM
Duration: 1-year contract
We are seeking an experienced an Administrative Assistant II to support site operations on an urgent, priority basis. This role provides administrative and operational support to management and staff within a business or functional unit and requires strong SAP ERP experience, attention to detail, and the ability to manage multiple administrative responsibilities while maintaining confidentiality.
Key Responsibilities
* Perform a wide range of administrative duties to support one or more members of management and/or staff.
* Utilize **SAP ERP** to create purchase orders, confirm receipt of materials, and generate reports.
* Coordinate with contractors to ensure purchase orders are in place, invoices are submitted for completed work, and payment-related questions are resolved.
* Order parts and equipment for various projects and support basic parts/inventory tracking.
* Manage calendaring, document preparation, document control, and general correspondence.
* Administer and manage the site gauge calibration program.
* Coordinate meetings, travel arrangements, and related logistics.
* Respond to routine and non-routine inquiries using knowledge of company policies, procedures, and practices.
* Maintain a high level of professionalism and confidentiality at all times.
Qualifications
* **Minimum of 2+ years of administrative experience**, with demonstrated experience using **SAP ERP systems**.
* Strong working knowledge of **SAP** for purchase orders, receipts, reporting, and contractor interactions.
* Proficiency in **Microsoft Office** (Word, Excel, Outlook) and **Microsoft Teams**.
* Experience with ERP systems and administrative support functions.
* Familiarity with parts or inventory management systems is a plus.
* Strong organizational skills, attention to detail, and ability to manage multiple priorities.
* Excellent written and verbal communication skills.
Preferred Skills
* Prior experience supporting technical, manufacturing, or operations-focused teams.
* Experience working with contractors, invoices, and purchasing workflows.
* Ability to work independently while collaborating effectively with cross-functional teams.
