Job Summary
We are seeking an Administrative Assistant for a direct hire opportunity in South San Francisco, CA. This role supports a public sector maintenance administration team with critical administrative, clerical, document control, invoice processing, and data entry functions.
The Administrative Assistant will play an important role in keeping bus maintenance, vehicle acceptance, vendor invoice, and work order records accurate and organized. This position offers a stable Monday through Friday schedule, a professional team environment, and the opportunity to work closely with maintenance administration, finance, contractors, and vendors.
Key Responsibilities
- Maintain accurate records and files related to bus maintenance, vehicle acceptance, document control, and work order management.
- Process contractor and vendor invoices using PeopleSoft Finance and internal administrative systems.
- Perform data entry, tracking, and reporting using Microsoft Excel, work order software, and related tools.
- Review invoice information, monitor spending, and support cost projection analysis.
- Track contract invoice spend and report total contract value and spend activity to management.
- Provide clerical and administrative support to the maintenance administration team as needed.
Compensation and Benefits
- Salary Range: $72,800 to $87,000 per year.
- Job Type: Direct Hire.
- Schedule: Monday through Friday, 7:00 am to 4:00 pm.
- Location: South San Francisco, CA.

Required Qualifications and Skills
- Maintain maintenance administration records, vehicle acceptance files, and document control systems.
- Process invoices and track contractor and vendor spending.
- Enter and manage data in PeopleSoft Finance, work order software, and Microsoft Excel.
- Support reporting related to invoice activity, contract spend, and cost projections.
- 3 to 5 years of administrative, clerical, office support, or related experience.
- Experience reviewing, processing, and tracking invoices.
- Proficiency with Microsoft Excel for data entry, tracking, and basic reporting.
- Familiarity with PeopleSoft Finance, work order systems, or similar business software.
- Strong attention to detail and commitment to accurate documentation.
- Ability to organize files, manage records, and follow established administrative processes.
- Clear communication skills for working with internal teams, vendors, contractors, and management.
- Ability to prioritize tasks and meet deadlines in a structured administrative environment.
Preferred Qualifications
- Experience supporting maintenance, fleet, transportation, government, public sector, or operations administration.
- Experience with contract spend tracking, invoice reconciliation, or cost projection support.
- Strong comfort working with high-volume documentation, records management, and administrative reporting.
