We are seeking a detail-oriented Warehouse Administrative Assistant to support daily operations by managing documentation, coordinating logistics, and assisting with inventory tracking. This role is ideal for someone who thrives in a fast-paced environment and enjoys keeping things organized and running efficiently.
Key Responsibilities
Data Entry & Documentation
• Maintain accurate records of inventory, shipments, and warehouse activity
• Process shipping orders, receipts, and related documentation
• Ensure all incoming and outgoing shipments are properly recorded in the warehouse management system (WMS)
Inventory Control Support
• Assist with inventory tracking, reconciliation, and reporting
• Generate inventory reports and help identify discrepancies
• Support stock audits and inventory accuracy initiatives
Communication & Coordination
• Act as a point of contact for internal teams, vendors, and drivers
• Assist with scheduling deliveries, pickups, and logistics coordination
• Respond to inquiries regarding shipment status and orders
File Management & Organization
• Maintain organized physical and digital filing systems
• Ensure compliance with company policies and document control procedures
Customer Service
• Respond to customer and supplier inquiries related to shipping and inventory
• Help resolve issues such as shipping errors or damaged goods
General Office Support
• Perform clerical duties including answering phones, emails, and scheduling
• Prepare reports, correspondence, and other administrative documentation
Qualifications
• High School Diploma or equivalent required (Associate’s degree preferred)
• 1–2 years of experience in a warehouse, logistics, or administrative role
• Strong computer skills, including Microsoft Office (Excel, Word, Outlook) and WMS systems
• Excellent organizational skills and attention to detail
• Ability to multitask and prioritize in a fast-paced environment
• Strong written and verbal communication skills
• Basic understanding of warehouse operations and inventory management
Physical Requirements
• Ability to sit, stand, and work at a computer for extended periods
