A landscape company in North San Diego is seeking an Administrative and Accounting Assistant to support their Controller in managing the day-to-day office operations of the company.
M-F 7:30-4
$25-$28/hr DOE

JOB DESCRIPTION
Manage calendars, scheduling, and correspondence for the Controller and administrative department.
Maintain organized digital and physical filing systems for contracts, vendor agreements, permits, and financial records.
Answer and direct incoming calls and emails related to billing, vendor inquiries, and administrative matters.
Order and manage office supplies and coordinate with vendors for routine administrative needs.
Greet visitors, answer phone calls, manage emails, and handle daily correspondence.
Support onboarding of new employees with administrative paperwork and HR file

Assist the Controller with accounts payable and accounts receivable processing, including coding and entering invoices, and tracking outstanding payments.
Reconcile vendor statements and follow up on discrepancies in a timely manner.
Track and process employee expense reports and credit card reconciliations.

Support compliance functions including certificate of insurance collection, subcontractor agreements, and lien waiver processing.
Assist with business licensing renewals, permit applications, and other regulatory filings as needed.

Qualifications:
2+ years of administrative or office support experience, preferably in construction, landscaping, or a trade-based business.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook); comfort working with spreadsheets and basic formulas.
Experience with Quickbooks (required)
