A local client is looking to hire a dependable and detail-oriented Administrative Assistant to provide comprehensive clerical and administrative support to a department or work unit. This role involves handling confidential information, supporting daily office operations, and serving as a key point of contact for internal staff and the public. The ideal candidate is organized, professional, and comfortable managing multiple priorities in a fast-paced office environment.
Key Responsibilities
-Serve as primary or secondary administrative support to a department, performing a wide range of confidential clerical and administrative duties
-Screen and route incoming phone calls, greet visitors, and respond to inquiries from the public and staff
-Prepare, format, and proofread correspondence and documents including letters, reports, contracts, proposals, presentations, charts, and technical materials
-Conduct research and compile data for reports, presentations, and other materials
-Create, maintain, and monitor departmental files, logs, and records, including timekeeping, payroll, and other confidential employee documentation
-Manage appointment schedules and calendars for department staff
-Independently respond to routine correspondence and information requests
-Assist with the preparation of policies, procedures, manuals, budgets, forms, and other written documents
-Order office supplies, equipment, and services; assist with accounts payable/receivable and support departmental budget administration
-Take meeting minutes, track action items, follow up on deadlines, and monitor task completion
-May provide functional supervision to clerical or administrative staff
-Coordinate small projects under the direction of a supervisor
-Perform routine clerical tasks such as filing and mail distribution
- Complete other related duties as assigned
Minimum Qualifications
Education/Training:
- High school diploma or equivalent
- Coursework or training in modern office practices and computer software programs preferred
Experience:
-Minimum of two (2) years of responsible office support or clerical experience
Required Skills & Abilities
-Strong organizational and time-management skills
-Excellent written and verbal communication skills
-Proficiency with standard office software (e.g., Microsoft Word, Excel, Outlook)
-Ability to handle sensitive and confidential information with discretion
-Attention to detail and ability to proofread for accuracy and formatting
-Ability to work independently and collaboratively
