Overview:
We are seeking a highly organized, proactive, and professional Executive Administrative Assistant to support a busy Managing Partner. This role is ideal for someone who thrives in a fast-paced environment, anticipates needs, and can seamlessly handle both business and personal responsibilities. You will serve as a trusted right hand, ensuring daily operations run smoothly and efficiently.
Key Responsibilities:
Executive & Administrative Support
Manage and coordinate a high-volume calendar, including scheduling meetings and sending invites
Field incoming calls, emails, and correspondence; respond on behalf of the executive when appropriate
Assist with travel planning, including last-minute changes or rerouting when necessary
Communicate professionally with clients, partners, and stakeholders
Operational & Financial Tasks:
Prepare and send invoices for clients and/or tenants
Collect K-1s for various investments
Track and confirm hotel bookings and payments
Remit property tax payments (annual, quarterly, or bi-annual)
Download, file, and process property insurance payments
Compile and transmit monthly property statements
Office & Personal Assistance:
Coordinate errands such as dry cleaning drop-off/pick-up and lunch orders
Maintain organization of office spaces (e.g., kitchen tidiness, handling office waste)
Manage returns and purchases
Renew memberships (e.g., medical associations)
Collect and coordinate orders for staff or affiliated groups
Qualifications:
Previous experience supporting a senior executive or managing partner preferred
Strong proficiency with Mac (Apple) systems and tools
Excellent written and verbal communication skills
High level of professionalism and discretion
Exceptional organizational and multitasking abilities
Self-starter with strong problem-solving skills
Comfortable handling both personal and professional tasks
Additional Requirements:
Flexibility for occasional after-hours support (e.g., travel disruptions or urgent needs)
Reliable, responsive, and detail-oriented
