Administrative Assistant / Accounts Payable & Receivable
Full-Time • On-Site • $16–$17 per hour

Monday–Thursday: 8:30 AM – 5:00 PM
Friday: 8:00 AM – 3:00 PM
Additional hours as needed

Compensation: $16–$17 per hour
Benefits: Full-time employee benefits package
Mileage/Expenses: Reimbursed monthly with approved documentation

About the Position
We are seeking a highly organized and customer-service-driven Administrative Assistant with Accounts Payable/Receivable responsibilities. This role is ideal for someone who enjoys helping others, managing a variety of office tasks, and keeping operations running smoothly.
The Administrative Assistant will serve as the first point of contact for visitors and callers, support leadership with scheduling, handle AP/AR tasks, and help manage office organization, inventory, and documentation.

What You’ll Do
Front Desk & Customer Support

Greet visitors and answer phone calls with professionalism and a friendly attitude.
Direct guests and inquiries to the appropriate staff members.
Support registration for programs, services, and events.

Administrative Duties

Manage calendars and scheduling for leadership.
Assist with mailings, printing projects, and general office tasks.
Sort, open, date-stamp, and distribute daily mail.
Maintain organized records, including:

Photo and branding file libraries
Email/contact lists
Archived files and documentation



Accounts Payable / Accounts Receivable

Post incoming checks into the daily check log.
Assist with AP/AR processes in line with internal procedures.

Office & Operations Support

Maintain organized brochure/display racks and lobby areas.
Oversee meeting room bookings and setup.
Assist in preparing welcome packets, new member materials, and program supplies.
Track inventory and order office supplies as needed.
Collect and share relevant community or business news clippings as assigned.


Qualifications

Previous experience in customer service, AP/AR, reception, or administrative work preferred.
Strong communication and phone etiquette.
Proficiency in Microsoft Office and Outlook (email and calendar).
Ability to generate reports using database systems.
Strong organizational skills and attention to detail.
Professional appearance and demeanor.
Reliable transportation required.
