We are seeking a reliable Administrative Assistant to provide support to management and community teams. This role supports daily office operations and requires strong organization, attention to detail, and confidentiality.
Key Responsibilities:
-Greet, direct, and assist visitors in the third-floor clubhouse reception area
-Manage incoming and internal mail distribution
-Perform administrative and clerical duties including document preparation, data updates, research, and project support
-Assist with office and multimedia equipment including printers, phones, computers, laptops, and projectors
-Apply, track, and order postage while assisting with cost controls
-Coordinate office equipment maintenance and service calls as needed
-Open and close the reception area and ensure files, keys, and equipment are secured
-Order, receive, and inventory office and kitchen supplies on a regular basis
-Maintain organized and safe office supply and kitchen areas
-Support Board of Directors and committee meetings, including notices, document preparation, packet formatting, and meeting setup
-Assist with special projects as assigned by management
-Participate in periodic safety inspections and safety committee activities
Work Environment:
-Office-based role with frequent interruptions
-Requires strong organization, prioritization, and attention to detail
-Regular interaction with residents, including seniors, requiring patience and professionalism
-Prolonged periods of sitting and computer use
-Occasional overtime may be required to meet deadlines
Qualifications:
-Previous experience as an administrative assistant or in an office environment
-Strong administrative and organizational skills
-Proficiency with Microsoft 365, including Word, Excel, and Outlook
-Effective written and verbal communication skills
-Ability to handle confidential information with discretion
-Education or training demonstrating the ability to perform the role
