Seeking a Immediate need for administrative assistant seeking new opportunity in the coming new year. Position Summary The Office Receptionist is the first point of contact for employees, guests, and vendors. This role is responsible for managing daily office operations, maintaining a welcoming environment, and providing administrative and operational support to ensure smooth business operations. The ideal candidate is highly organized, detail-oriented, and able to handle multiple priorities in a fast-paced environment.
Key Responsibilities - Front Desk & Visitor Management • Greet and assist visitors, candidates, and vendors in a professional and friendly manner. • Manage visitor sign-in, issue badges, and coordinate meeting room access. • Answer and route incoming calls, emails, and general inquiries. - Office Operations & Facility Support • Monitor and maintain office cleanliness, organization, and safety standards. • Serve as the primary point of contact for building management, maintenance staff, and service providers. • Coordinate repairs, cleaning, and building access requests as needed. • Maintain meeting rooms, common areas, and office equipment (printers, copiers, etc.). - Purchasing, Inventory & Supplies • Manage purchasing and inventory for kitchen supplies, snacks, beverages, and general office supplies. • Perform regular inventory checks to ensure supplies are always stocked. • Work with vendors to place orders, track deliveries, and resolve issues. - Administrative & Business Support • Support employee travel applications, bookings, and documentation requirements. • Assist with onboarding tasks, including preparing new hire desks, equipment, and welcome materials. • Act as the go-to person for all general administrative assistance needs. - Events & Employee Engagement • Provide onsite support for company events, meetings, workshops, and visitors from other offices. • Coordinate catering, room setup, materials, and logistics. • Support planning for small celebrations, holiday events, and team activities. - Mail, Shipping & Logistics • Manage incoming/outgoing mail, packages, and courier services. • Coordinate shipments, returns, and logistics for office or employee needs.

Types 45wpm to 50wpm. Excellent knowledge/experience with Word, Excel, Outlook, MS Teams. Prefer Bachelor degree or AA degree. Mandarin Chinese is nice to have. Background check may be needed.
