Job Description
Position Summary:
The Administrative Assistant provides high-level administrative support to ensure efficient day-to-day operations. This role is responsible for handling a wide range of clerical tasks, supporting staff and management, maintaining organized workflows, and ensuring a professional and welcoming environment.
Key Responsibilities:
Provide administrative support to management and staff, including scheduling meetings, preparing documents, and handling correspondence.
Answer and route phone calls, greet visitors, and maintain a professional front-office environment.
Manage calendars, schedule appointments, and coordinate meetings and conference calls.
Prepare, edit, and distribute reports, memos, letters, and other documents.
Maintain organized filing systems (electronic and paper).
Assist with HR tasks such as onboarding new employees, maintaining personnel records, and preparing paperwork (if applicable).
Support office operations, including ordering supplies, managing inventory, and coordinating facility requests.
Process expense reports, invoices, and basic bookkeeping or data-entry tasks as needed.
Assist in planning company events, trainings, and meetings.
Handle confidential information with professionalism and discretion.
Qualifications:
High school diploma required; associate’s degree or certification in office administration preferred.
1–3 years of experience in an administrative or office support role.
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and/or Google Workspace.
Excellent written and verbal communication skills.
Strong organizational skills and the ability to multitask and prioritize.
Attention to detail and problem-solving abilities.
Ability to work independently and as part of a team.
Preferred Skills:
Experience with HRIS, payroll systems, or CRM tools.
Basic bookkeeping or accounting knowledge.
Bilingual spanish
