Administrative Assistant - Manufacturing

About the role
A growing manufacturing company in Ontario is hiring an Administrative Assistant to support production, operations, and front office functions. This role keeps schedules tight, documents accurate, and communication flowing between the shop floor and the office.
Schedule
Monday to Friday, 8:00 a.m. to 5:00 p.m. Overtime as needed.
What you will do
Front office support: phones, visitor check-in, mail, supplies, and meeting coordination.
Create and maintain documents: work orders, packing slips, BOLs, POs, quotes, and job folders.
Update spreadsheets and databases for production, inventory, and shipping.
Enter transactions in ERP or accounting systems and file documents accurately.
Calendar and travel coordination for managers.
Support AP and AR with invoice matching, coding, and basic reconciliations.
Capture meeting notes and distribute action items.
Assist HR with onboarding packets, badges, trainings, and safety logs.
Partner with Production, Quality, and Shipping to keep information current and jobs on schedule.
What you bring
1 to 3 years of administrative experience. Manufacturing or distribution office experience is a plus.
Strong Microsoft Office skills, especially Excel and Outlook.
Experience with ERP or accounting software is helpful.
Accurate data entry, document control, and file management.
Clear communication, strong follow-through, and a sense of urgency.
Ability to juggle priorities, meet deadlines, and support multiple stakeholders.
High attention to detail and commitment to safety and confidentiality.
