We are seeking a detail-oriented Administrative Assistant to support our Associate Director of Philanthropy. This role is ideal for a proactive professional who thrives in a fast-paced environment, balancing administrative responsibilities with event coordination and donor engagement support.
Key Responsibilities:
Manage calendars, appointments, and travel arrangements for the Associate Director.
Prepare materials, reports, memos, and presentations for meetings and events.
Handle incoming calls, emails, and correspondence on behalf of leadership.
Maintain filing systems, databases, and confidential records with discretion.
Act as a liaison between the Associate Director and internal/external stakeholders.
Provide administrative support for fundraising events, donor engagement activities, and special projects.
Coordinate event logistics, vendor communication, and timelines.
Assist with communication of strategies and key messages from senior leadership.
Qualifications:
Proven experience as an Administrative or Executive Assistant (nonprofit or philanthropy experience a plus).
Strong organizational, project coordination, and time management skills.
Proficiency in Microsoft Office Suite; experience with project management or scheduling software preferred.
Excellent written and verbal communication skills.
Ability to manage multiple priorities and adapt quickly to changing needs.
High attention to detail, accuracy, and confidentiality.
Bachelor’s degree in Business Administration, Nonprofit Management, or related field preferred.
