Job Description: Administrative Support Specialist
Responsibilities:
Utilize computer software for diverse administrative tasks including word processing, data entry, and database management.
Answer incoming calls, respond to inquiries, take detailed messages, or direct callers to appropriate personnel.
Maintain and update records by entering, organizing, and retrieving data in both electronic and paper filing systems.
Set up and manage filing systems, ensuring accuracy and confidentiality of documents such as attendance logs and correspondence.
Operate and maintain standard office equipment (fax machines, copiers, phone systems), coordinating service or repairs as needed.
Welcome and assist visitors and callers, directing them to the appropriate departments or individuals based on their needs.
Manage calendars and schedule meetings, appointments, and events for staff or executives.
Prepare and complete forms in accordance with company policies and procedures.
Handle document reproduction tasks including copying and assembling printed materials.
Qualifications & Skills:
Excellent Written Communication: Ability to compose clear, professional documentation and correspondence tailored to diverse audiences.
Active Listening: Strong interpersonal skills, with the ability to fully understand and address client and colleague needs.
Reading Comprehension: Skilled in interpreting work-related documents and internal communications.

Administrative Expertise: Well-versed in clerical functions, office procedures, and form design.
Technical Proficiency: Competent with Microsoft Office Suite, including Word, Excel, and Outlook, and general office technology.
