We are seeking a detail-oriented Administrative Accounting Assistant for a temp-to-hire opportunity in Ontario, CA. This 100% onsite role is ideal for a bilingual English and Spanish professional who enjoys a balanced mix of accounting support, customer service, over-the-counter sales, and administrative office duties.

The Administrative Accounting Assistant will support the Office Manager in a small, family-oriented office environment where teamwork, reliability, and customer care are highly valued. The right candidate will be comfortable handling Accounts Payable, Accounts Receivable, QuickBooks entries, customer payments, vendor communication, and walk-in customer support. Key Responsibilities

- Assist walk-in and phone customers with product questions, pricing, availability, purchases, payments, invoices, and general account inquiries.
- Process over-the-counter sales, customer payments, receipts, invoices, and related transaction documentation accurately.
- Support Accounts Payable and Accounts Receivable functions, including vendor invoices, customer payments, account records, reconciliations, and invoice discrepancies.
- Utilize QuickBooks to enter, update, maintain, and retrieve accounting and customer account information.
- Prepare and organize documentation for bank deposits, check runs, accounting records, customer files, vendor files, and confidential business documents.
- Provide general administrative support, including data entry, filing, scanning, copying, correspondence, office organization, phone coverage, and special projects.

Compensation and Benefits

- Pay Range: $22.00 to $28.00 per hour, depending on experience.
- Job Type: Temp-to-Hire.
- Schedule: Monday through Friday, 7:00 AM to 3:30 PM.
- Work Location: 100% onsite in Ontario, CA.



Required Qualifications and Skills

- Support daily Accounts Payable and Accounts Receivable activity, including invoice entry, customer payment posting, vendor records, and account documentation.
- Provide customer service and over-the-counter sales support for walk-in customers and incoming phone inquiries.
- Maintain accurate accounting, customer, vendor, and administrative records using QuickBooks, Microsoft Office, and internal systems.
- Assist the Office Manager with daily office operations, filing, payment processing, reporting, and administrative projects.

- Bilingual in English and Spanish is required.
- 2+ years of hands-on Accounts Payable and Accounts Receivable experience is required.
- QuickBooks experience is required.
- Prior experience in administrative support, accounting support, customer service, or office operations is required.
- Strong understanding of invoices, payments, customer accounts, vendor accounts, and basic accounting documentation.
- Experience handling cash, checks, customer payments, or over-the-counter transactions is strongly valued.
- Proficiency with Microsoft Office, especially Excel and Outlook.
- Strong attention to detail, accuracy, organization, and time management.
- Ability to handle confidential financial and business information with professionalism and discretion.
- Ability to multitask, prioritize competing responsibilities, and work effectively in a busy office environment.
- Reliable, dependable, customer-focused, and comfortable supporting a small team.

Preferred Qualifications

- Construction industry experience is preferred.
- Bachelor's degree in Business, Communications, Finance, Accounting, or a related field is preferred, but not required.
- Experience working in a small office, family-owned business, or hands-on customer-facing environment is a plus.
- Prior experience supporting an Office Manager or performing blended accounting, administrative, and customer service duties is preferred.
