Admin/Executive Assistant - Orlando, FL

We are seeking a proactive and detail-oriented Executive Administrative Assistant to join a collaborative, fast-paced team supporting senior leadership. This temp-to-perm role offers the opportunity to transition into a permanent position and make a meaningful impact by providing high-level administrative and operational support to our C-suite executives.

Key Responsibilities

Executive & Administrative Support
- Manage complex calendars, schedule meetings, and coordinate travel for CHRO, CEO, and other senior leaders.
- Prepare and process expense reports, purchase orders, and vendor contracts.
- Draft, edit, and format emails, memos, presentations, and internal communications.
- Handle confidential information with professionalism and discretion.
- Review, route, and organize important documents for timely processing and distribution.
- Assist in preparing reports and presentations for senior management.
- Collaborate with fellow administrative professionals to support department needs.

Office & Facilities Coordination
- Monitor and replenish office and kitchen supplies.
- Troubleshoot equipment issues and coordinate workspace maintenance.
- Report facility concerns (e.g., temperature, ergonomics).
- Support logistics for employee transitions, including equipment returns.

Department Operations Support
- Process invoices and track payments.
- Manage onboarding items such as welcome gifts, nametags, and business cards.
- Provide DocuSign, notary, and mailroom assistance (FedEx, USPS, internal mail).
- Assist with printing and document preparation.

Employee Experience Services
- Respond to inquiries regarding payroll, policies, benefits, and IDs.
- Support conference room scheduling and App Space troubleshooting.
- Coordinate shipment of supplies to remote staff and support internal logistics.

Qualifications
- Bachelor’s degree required; a degree in Human Services or a related field is a plus.
- 5+ years of administrative or office coordination experience, preferably supporting C-level executives in a non-profit or healthcare setting.
- Strong document management and routing skills with a keen eye for detail.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with SAP, Concur, SharePoint, and DocuSign is a plus.
- Exceptional multitasking, prioritization, and time management abilities.
- High level of professionalism, discretion, and confidentiality.
- Team-oriented, proactive, and eager to take initiative.
