Job Summary
A legal services organization in Novato, CA is seeking a bilingual Administrative Assistant - Medical Processing for a temp-to-hire opportunity. This role supports the Medical Processing Department by helping coordinate client appointments, prepare correspondence, review Spanish translations, and keep case-related administrative work moving accurately and efficiently.

Key Responsibilities
- Serve as a liaison with Spanish-speaking clients to schedule radiologic exams, pulmonary function tests, and Zoom appointments with experts.
- Prepare form letters and client correspondence according to established department protocols.
- Review letters translated from English to Spanish to help ensure accuracy, clarity, and consistency.
- Support case movement by completing administrative tasks assigned by the department supervisor.
- Communicate professionally with internal teams, attorneys, clients, and outside facilities while maintaining confidentiality.
- Organize workload, track details, and meet deadlines in a fast-paced legal services environment.
Compensation and Benefits

Required Qualifications and Skills
- Coordinate medical-related appointments and testing for Spanish-speaking clients.
- Prepare and process administrative correspondence for medical processing case activity.
- Review English-to-Spanish translated letters for accuracy.
- Support department workflow through organized, deadline-driven administrative tasks.
- 1-2 years of administrative, clerical, legal support, medical processing, or related experience preferred.
- Bilingual English/Spanish communication skills required.
- Familiarity with medical records and medical bills preferred.
- Accurate typing speed of 30-40 WPM.
- Proficiency with Microsoft Word, Excel, Acrobat, databases, and WordPerfect preferred.
- Strong written and verbal communication skills.
- Ability to manage multiple tasks, organize priorities, and consistently meet deadlines.
- High attention to detail and ability to work independently and as part of a team.
- Professional communication style with the ability to maintain confidentiality.
- Strong problem-solving skills and initiative to take the next step when needed.
Preferred Qualifications
- Experience in a legal services, medical records, claims, or case processing environment.
- Prior experience reviewing Spanish-language correspondence or translated documents.
- Comfort working in a fast-paced, high-pressure office setting with attorneys, support staff, clients, and outside facilities.
