The Accounts Payable Specialist is responsible for maintaining the accounting records for one – two large and one – three small companies including accounts receivable and account payable operations.

REPORTS TO: Accounting Supervisor

ESSENTIAL RESPONSIBILITIES:
1. Maintenance of accounting records of assigned companies within general accounting principles as per established policies and procedures.
2. Demonstrates proficiency in QuickBooks Pro, Microsoft Excel and Microsoft Word.
3. Enter deposits, withdrawals, and invoices; obtain supporting documentation/approvals as required for assigned companies; review statements for missing/past due invoices; and contact vendors to obtain missing items.
4. Prepare A/P report annotating vendor requests/key reminders (i.e., payrolls, rent, utilities, etc.) within established procedures and timelines for presentation to the Accounting Supervisor every Monday.
5. Answer assigned voice mail account(s), reporting vendor requests/demands timely.
6. Execute General Journal Entries as authorized.
7. As applicable to assigned companies, translates financial data submitted by company staff into Excel spreadsheet, preparing a daily Month-to-Date, Monthly final and YTD reports for the CEO.
8. Complete allocation of credit card statements and combined entity bills promptly to ensure timely monthly financial reports.
9. Assumes responsibility for special projects as assigned.

MINIMUM QUALIFICATIONS:
Two to three years bookkeeping/accounts payable experience.
Excellent written and verbal communication, organizational, and interpersonal skills; general bookkeeping, spreadsheets, and word-processing. Ability to exercise sound judgment, discretion, personal initiative, confidentiality and professionalism. Ability to work independently, shows mature judgment, prioritize and organize multiple projects.

EDUCATION:
High School Diploma or GED. Bachelor’s degree in accounting or business preferred.
