We are currently seeking a Temporary Accounts Payable (AP) Specialist to support our finance and administrative team during a leave of absence. The ideal candidate will be experienced with QuickBooks Enterprise, organized, and able to manage various AP and office support tasks with accuracy and professionalism.
Key Responsibilities:
• Perform data entry of vendor invoices into QuickBooks Enterprise
• Execute 3-way matching of invoices, purchase orders, and receipts
• File and maintain digital and physical AP documentation
• Prepare outgoing mail and manage USPS mailing processes
• Answer incoming calls, transfer to appropriate team members, and take clear messages
• Assist with general administrative tasks as needed
• Use Adobe PDF tools and Excel for documentation and reporting
• Maintain communication with vendors and project teams to resolve billing issues
Requirements:
Experience using QuickBooks Enterprise (non-negotiable)
• Familiarity with 3-way matching procedures
• Proficiency in Microsoft Excel, Adobe PDF, and general office software
• Comfortable with handling USPS mailings and general office filing
• Strong phone etiquette and communication skills
• Highly organized, detail-oriented, and reliable
• Previous AP or construction industry experience is a plus
