Pay rate: $26/hr - $28.57 per hour. Required Qualifications and Skills
Contract duration: September 21, 2026 through November 13, 2026.
Schedule: Monday through Friday, 8:00 AM to 5:00 PM.
- Hours: 40 hours per week.
Work arrangement: onsite in Lake Buena Vista, FL 32830.
Interview process: One virtual interview via Microsoft Teams.
Key Responsibilities
- Provide administrative, financial, and operational support to leadership, including confidential document handling and internal communications.
- Process vendor payments, purchase requests, supplies, services, and procurement activities using COUPA and SAP.
- Partner with Accounts Payable to research and resolve GRIR reports, blocked invoices, payment issues, and invoice coordination needs.
- Support timekeeping, off-duty pay coordination, license fee payments, service awards, equipment repairs, and business operations tracking.
- Coordinate purchasing, repairs, refreshes, shipping, labeling, and distribution for equipment such as iPhones, laptops, iPads, AED units, and fire extinguishers.
- Respond to urgent requests, support budget reviews, assist during crisis situations, and maintain strong follow-through in a fast-paced environment.
- Support accounts payable, procurement, vendor payment, and invoice resolution processes.
- Manage administrative and financial operations for leadership teams.
- Coordinate supplies, services, equipment, shipping, licensing payments, and internal business support requests.
- Assist with budget review support, reporting follow-up, and timekeeping-related administrative tasks.
- 2 to 5 years of relevant accounts payable, procurement, administrative finance, or financial operations experience.
- AA, BA, or equivalent relevant work experience.
- Proficiency with COUPA and SAP, including Casual Buyer experience.
- Proficiency with Microsoft Office Suite.
- Basic working knowledge of Microsoft Teams and Smartsheet.
- Strong organizational skills, attention to detail, and ability to prioritize multiple deadlines.
- Effective verbal communication, critical thinking, and follow-through skills.
- Comfortable using computers, phones, office equipment, and business systems.
- Ability to handle confidential information reliably and professionally.
- Positive, flexible, can-do attitude with the ability to remain composed during unexpected situations.
- Ability to work occasional weekends, holidays, or varying shifts when required.
Preferred Qualifications
- Prior experience supporting leadership, operations, procurement, or accounts payable functions in a large corporate, entertainment, media, hospitality, or fast-paced business environment.
- Experience researching invoice discrepancies, resolving blocked invoices, and coordinating with internal business partners.
- Experience supporting emergency operations, security operations, facilities, or administrative finance teams.
