Position Overview

We are seeking a detail-oriented Accounts Payable Specialist with construction industry experience to join our team. This role is responsible for managing high-volume invoice processing, ensuring compliance with contract terms, and supporting project accounting functions.

Key Responsibilities
Process high-volume vendor and subcontractor invoices accurately and in a timely manner
Review invoices against purchase orders, contracts, and lien releases
Ensure compliance with prevailing wage and certified payroll requirements (if applicable)
Manage subcontractor documentation, including W-9s, insurance certificates, and lien waivers
Coordinate with project managers to resolve invoice discrepancies
Prepare and execute weekly check runs and ACH payments
Maintain accurate records in accounting systems (e.g., Sage, Viewpoint, QuickBooks)
Assist with month-end close, accruals, and audit support
Reconcile vendor statements and respond to vendor inquiries
Support job cost tracking and allocation of expenses to projects
Qualifications
4+ years of Accounts Payable experience in the construction industry
Strong understanding of job costing and subcontractor billing
Experience with construction accounting software (Sage 100/300, Viewpoint, or similar)
Knowledge of lien waivers, retainage, and compliance documentation
High attention to detail and strong organizational skills
Ability to manage multiple deadlines in a fast-paced environment
Proficiency in Microsoft Excel and accounting systems
Excellent communication and problem-solving skills
Preferred Qualifications
Experience with certified payroll and prevailing wage projects
Familiarity with AIA billing processes
Bilingual (English/Spanish) is a plus
