Growing and dynamic Entertainment Studio Equipment Rental Company is looking to hire MULTIPLE Accounts Payable Clerk's.
**Applicants from a company that offers physical goods distribution, manufacturing, equipment rentals, leasing, construction, etc. is a plus
**AS 400 software is a plus
Job Responsibilities:
•Work with vendors as well as co-workers to ensure the company is being billed correctly, process invoices, and issue payment.
•Ensuring invoices are flowing and processed promptly to be paid within terms.
•Work with purchasers to ensure PO’s are issued and are accurate.
•Follow up as needed to ensure invoices are processed in a timely manner.
•Requesting copies of PO’s, invoices and packing slips so that we can complete 3 way matching and pay invoices for items delivered/services rendered.
•Working with purchasers and vendors to revise PO’s and invoices if rates, dollar amounts, quantities, etc. are incorrect.
•Posting invoice batches in AS400 so invoices can be readied for payment.
•Coding with the correct General Ledger Account Numbers so that expenses can be recognized accurately.
•Creating and maintaining vendor accounts.
•Entails requesting current W9 forms and ensuring that information such as remit to address, 1099 address, Tax ID number, etc. are entered correctly on account.
•Assist with establishing Net 30 terms with new vendors by providing credit references and filling out credit applications if requested.
•Exchanging documents such as tax exempt forms and W9’s that company and the vendor may need to initiate doing business together.
•Setting up profiles for various vendor website portals so we can convert to paperless billing and update any contact/billing info the vendor may need to keep our account info current.
•Updating monthly bill allocation spreadsheets for invoices that we code to multiple G/L accounts.
•Generate a Positive Pay Sheet so checks can be uploaded to our bank.
•Prepare a check folder that is ready for the designated signer.
•Distributing signed checks via mail or FedEx after checks are signed.
•Filing paid invoices throughout the week in the corresponding filing cabinets.
•Assisting with any reports for tracking, expense/payment history, etc. as requested.
•Recording ACH/wire payments in AS400 system.
•All other duties that are assigned.
Skills/Education:
•Minimum 2 year of accounting or bookkeeping experience.
•Knowledge of GAAP and Microsoft Office software such as Outlook and Excel.
•Attention to detail.
•Excellent communication and interpersonal skills.
•Strong analytical and problem-solving abilities.
•Ability to work independently and as part of a team.
Education:
•High School Diploma/GED.
•Associates or Bachelor's Degree a plus.
