Summary:
The Accounts Payable Specialist is responsible for managing vendor invoices, ensuring timely and accurate payments, and maintaining organized financial records. This role supports daily accounting operations by verifying invoices, reconciling statements, and assisting with month-end close activities.

Key Responsibilities

Process invoices, purchase orders, expense reports, and credit memos with accuracy and proper documentation.
Match invoices to purchase orders and receipts, resolving discrepancies with internal teams or vendors.
Prepare and execute weekly payment runs via check, ACH, or wire transfer.
Maintain vendor records, respond to inquiries, and ensure accounts remain in good standing.
Reconcile vendor statements and assist in resolving outstanding issues.
Support month-end closing by preparing accruals and AP-related reports.
Follow company policies, internal controls, and compliance requirements.
Collaborate with procurement, finance, and operations to ensure efficient AP processes.

Qualifications

1–3 years of Accounts Payable or general accounting experience.
Strong attention to detail and ability to manage high-volume processing.
Intermediate Excel skills (VLOOKUP, pivot tables preferred).
Experience with ERP systems (SAP, Oracle, NetSuite, or similar).
Strong communication and customer-service mindset.
Ability to meet deadlines in a fast-paced environment.

Preferred Skills

Knowledge of 3-way matching and invoice workflow systems.
Experience with vendor management and payment automation tools.
Basic understanding of GAAP.
